Designing a Project Management software
Building the first iteration of the enterprise Portal
CONTEXT
FD tool is an internal portal for leadership that helps to perform daily tasks and manage projects and human resources.
For the portal redesign, I was working within the team of two senior UX/UI designers. Closely collaborating with the Business and development team using Agile framework, we were able to build and test MVP with the users in three months time.

1. Giving structure
to the processes

Presenting complex concepts and processes in a precise and attractive form makes them easier to understand and refine.
I've documented all steps and actions within the user-system interaction to keep clarity in the design and the development processes.

2. Aligning design decisions with the users' actions

To ensure that our design optimizes the users' ability to accomplish certain tasks fluidly and effortlessly, I mapped the following Task flows. The development team appreciated the illustrated guide style that was acting as a specification to the prototype explaining user actions for each task.

3. Mapping high-level experience

Tracking the high-level perspective of the user needs and the relative steps and actions in the User journey allowed us to validate our solutions and to define points for further improvements.

4. Creating consistency with the Design System

During the rapid prototyping process, some elements may become inconsistent due to the lack of a unique Design System.
With the hierarchy in mind, I catalogued all elements and components, then organised and uniformed them to reach consistency and completeness in the design language of the product. The intent was to provide clear context for anyone involved in the building up of new features for further platform scaling.

5. Validating solutions through user testing

We conducted moderated usability testing to evaluate the simplicity of navigation, task completion and correct understanding of the functionalities of the FD prototype.
The user testing sessions were scheduled and carried out via Microsoft Teams using prototypes in InVision.

6. From test scripts
to insights

To start with, I prepared scripts for semi-structured interviews for the two user profiles in accordance with the user journeys and tasks (see above). The analysis of both qualitative and quantitative data revealed some insights such as pain points, appreciations, and suggestions. These allowed to further refine the design and iterate the process, on the way to a better product.

7. Iteration and Communication

In one tool we needed to introduce many industry-specific features and processes without overwhelming the users with information. Constant alignment and a clear understanding of everyone involved — business stakeholders, development team and customers — of WHY and HOW we are doing what we are doing, was fundamental. Especially after the user testing sessions were conducted and improvement points identified, communication became ever more important to iterate on and polish the product. Handover is important, but the continuous implementation support as well.

Documenting and sharing the assets, keeping the discussion open is a crucial part of the process. This way we were able to respond to the requirements in order to best satisfy the users' needs.
